Administrative Accounting Assistant

PRIMARY FUNCTION: Perform accounting and clerical tasks related to the efficient maintenance and processing of administration and accounting. 

Essential Duties and Responsibilities:

Accounting Duties: 

  • Receive and track subcontractors insurance
  • Update preliminary notice list monthly
  • Track and monitor subcontractor releases
  • Assemble and mail subcontractor payments
  • Fax and/or email correspondence
  • Maintain and file contract/account payable files
  • Assist with corresponding with vendors and respond to inquiries
  • Assist with month end closing
  • Assist with entering certified payroll into LCP Tracker
  • Assist with reviewing subcontractors certified payroll 
  • Collect mail from the post office
  • Bank deposits

 Administrative Duties: 

  • Answer telephone, screen and direct calls  
  • Prepare shipments for UPS and Federal Express 
  • Greet and direct persons entering organization 
  • Deal with queries from the public and customers 
  • Provide general administrative and clerical support 
  • Receive and sort mail and deliveries 
  • Organize conference and meeting room bookings 
  • Monitor and maintain office equipment 
  • Control inventory and order supplies 
  • Maintain good customer relations with owners, subcontractors, suppliers and employees 

Education and/or Experience:  

  • High School Diploma or equivalent  
  • One year construction accounts payable or general accounting experience
  • Knowledge of general accounting principles
  • Knowledge of relevant accounting software
  • Proficient in data entry and management
  • Intermediate Excel knowledge

 Work Schedule: 40 hours, Monday-Friday work week.  Any changes to the schedule or number of hours worked will be as directed by the Controller. Overtime as authorized by Controller.
